Event Planner - KES Agricultural Forum

Description

This is a fixed-term contract to oversee the execution of the KES Agri-forum in Creston on March 6th and 7th. This time-limited position will undertake a wide range of tasks to see the event through to completion.  
 
Responsibilities
  • Manage all aspects of the event from pre-planning, determining resource needs, pre-event marketing, and on-site coordination, to post event follow up
·        Plan event with attention to financial and time constraints
·        Manage all event operations (employer and speaker contacts, client contact or mailouts, preparing venue, invitations etc.)
  • Order supplies needed for events and ensure items arrive in a timely fashion
  • Assist in site and vendor selection and negotiating the best possible rates and terms
  • Develop effective and collaborative relationships with internal and external stakeholders
  • Supervise staff at events, assign duties, and provide general direction
  • Plan and execute pre-event marketing in collaboration with Marketing department or marketing contractors
·        Utilize project management best practice to coordinated events
·        Schedule speakers if required
·        Enlist staff support if required
·        Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
·        Oversee event happenings and act quickly to resolve problems
  • Conduct post-event data and strategic analysis and evaluation to inform future events
·        Evaluate event’s success and submit reports
·        Other duties as required
 
Skills and Qualifications:
  • Bachelor's degree, preferably in Hospitality Management, Marketing, Business, or Communications preferred
  • 2-3 years experience planning and executing events of varying sizes
  • Ability to manage external vendor resources and relationships
  • Demonstrated project management skills
  • Proven experience as event coordinator
  • A proven track record of organizing successful events
  •  Proficient in MS Office
  • Excellent vendor management skills
  • Outstanding communication and negotiation ability
  • Well-organized with multi-tasking skills
  • Able to handle stress and remain calm
  • Strong problem-solving ability
 

Compensation

$26.00 - $28.00 per hour
